Set up a New Prescription

Any prescription documented in HealthOffice Anywhere must first be added to the student record. Prescriptions can be scheduled, P.R.N., or both.

A prescription is set up directly through the student record.

  1. Within the prescriptions section of the student record, click the New Prescription button (green and white plus).

  2. The fields labeled in RED are required in order to save the prescription order.
    • Classification – Select the classification of the prescription.
    • Medication – Select the name of the prescription.
    • Medication Unit Dose – Select the physical unit dose of the prescription. For example, an Adderall prescription may come in 10mg tablets. The unit is 10mg.
    • Start Date – This defaults to the day the prescription record is entered, however should be adjusted to reflect the order.
    • End Date – This defaults to the last day of the track year, but should be adjusted to reflect the order.
    • Prescription – Select the type of prescription (over the counter, prescription, or controlled substance).
  3. The black fields are not required to save the prescription, but add necessary detail and depth creating more complete records. Complete all fields that apply to the prescription order.
    • Combo Medication – Check this box to indicate a combination ingredient prescription.
    • Unit Type – Select the type of prescription, for example, the prescription is a capsule.
    • Frequency – Select how often this prescription is administered.
    • RX – Enter the prescription number.
    • Route Type – Select how the prescription is delivered.
    • Expiration Date – Enter the medication expiration date.
    • Match School End Date – Check the box to have this prescription automatically match the school end date within the track year. This is helpful if the school year is extended.
    • Sensitive – Check the box to allow only users with access to sensitive record access to see this prescription record.
    • Pharmacy – Enter the name of the pharmacy associated with this prescription.
    • IEP – Check the box if this prescription is detailed in the student’s IEP.
    • Plan or Service – Used by Healthmaster billing customers, select the plan or service that identified for this prescription.
    • ICD 10 Code – Used by Healthmaster billing customers, select the ICD 10 code associated with this prescription.
    • Special Instructions – This is where you enter the details related to the order that the person administering needs to know. This information will appear every time the administration is documented. Standard copy and paste commands can be used within the special instructions field. The field will expand when viewed in the prescription administration.

Prescription Type

The type section of the prescription record is where you document important information about this prescription, and contains one of the fields required to save the order.

Inventory

This section on the prescription record activates the inventory tracking for this prescription. Once the order is saved, an inventory menu appears at the top of the screen. The inventory menu is only activated if the Inventory check box is checked. The inventory is how you track the number of medication units you have on hand.

Prescription Authorizations

The Authorization section is where you document who authorized the prescription, who prescribed it, and the pharmacy that is associated with the prescription.

Discontinue Prescription

Occasionally prescription orders are discontinued before the specified end date. To stop the order before the end date, you discontinue the prescription.

Prescription Schedules

In order to have a prescription administration appear on the To Do List, it must be scheduled. The scheduler appears at the bottom of the page after the order has been saved (at least one time).

  1. To add a scheduled interval, click the new row button (green and white plus).
  2. Enter the start date. This should be the first day that this prescription is documented.
  3. Enter the time that this is to appear on the To Do List. Click to the far left of the time box and type the scheduled time, from left to right. No colon [:] is required. Type “A” for AM and “P” for PM.
  4. Enter the Enter the amount of the medication unit dose to be administered (the left box is the whole number, and the right box is the decimal).
  5. Check the days of the week that this is scheduled.
  6. To add another scheduled interval, click the new row button (green and white plus) again.
  7. Click save at the top of the screen.
